OFFICE ADMINISTRATOR JOB SPECIFICATION

  

TLS Social Care Ltd is looking for a bright and diligent administrative assistant to help with the smooth running of our office. The role is ideal for someone who likes working with people and information. Our preferred candidate will be personable and courteous and relish the challenge of keeping a busy office organised and efficient.


 In this role you will be  working closely with the Managing Director and Registered Manager to coordinate growth and development of a high quality  domiciliary care service for adults with Learning Disabilities, Mental and Physical Health needs in the local area.

 

Working Pattern

Part time

Monday to Fridays (times tbc)

Duties of a TLS Social Care – Office Administrator

To undergo an administrative service within the service. This will include being the first point of contact for team/ department, which could involve duties such as:


  • Answering the telephone and responding to enquiries, redirecting calls to relevant staff and recording messages accordingly
  • Supporting with Recruitment – Arranging interviews, sending out interview invitation letters, Interview outcome letters
  • Enforcing Office protocols and policies
  • Understand and pick up electronic systems easily
  • To set up and maintain an efficient manual filing system in support of the Quality Team
  • Assist with collation, storage and recording of archive documentation as required
  • To set up and maintain efficient and effective monitoring systems to include all quality audits; CQC reports, safeguarding, complaints, incident/accident reports and Provider Inspection reports. To ensure that hard and soft copies are filed appropriately.
  • Arranging and setting up interviews
  • Sorting out timesheets 
  • Typing letters
  • Ordering PPE and Office supplies
  • Support with Invoicing
  • Processing new referrals
  • General admin duties supporting the management and staff team within the office



Desired Skills:

Strong Microsoft Experience particularly Word, Excel, Sharepoint and MS Teams

Strong Administration background

The position is subject to an enhanced DBS check and two suitable references.

Salary £12.00 an hour
